Vivien Rountree is committed to respecting and protecting your privacy. We wish to be transparent on how we process your data and show you that we are accountable with the GDPR in relation to not only processing your data but ensuring you understand your rights as a client.

Purpose for processing your data and our legal basis

In order for us to provide you with our weight loss service, we need to collect personal data.  Our reason (lawful reason) for processing your data under the GDPR is:

We collect your contact information (email address, name, telephone number).  We use this information to respond to enquiries and/or requests, to send you email or text reminders about your appointments and to call you in the event of you missing your appointment.

You may subscribe to receive email updates from the blog on the Site by submitting your email address. You also may submit comments to the blog on the Site or through the contact mechanism on the Site, where you will be asked to enter your name and email address.

Web servers may automatically capture the following information from visitors to the Site, including the name of the domain and host from which you access the internet, the internet address of the Site from which you enter the Site, the pages you visit on the Site and the amount of time you spend on the Site.  This visitor information may be used to improve the Site.

In our clinics, we capture information for the purposes of monitoring your progress through your weight loss programme.  We use the information collected in-clinic to better inform our decision making in recommending the most appropriate weight loss advice.

We are committed to ensuring that the information we collect and use is appropriate for this purpose, and does not constitute an invasion of your privacy.

How will the personal data collected about me be used?

We will process (collect, store and use) the information you provide in a manner compatible with the EU’s General Data Protection Regulation (GDPR). We will endeavour to keep your information accurate and up to date, and not keep it for longer than is necessary.

Making Contact

We contact individuals who request that we do so, or in the event that they have signed up to receive any of our emails, webinars, e-books (or other information) or have purchased one of the products from the Site.

Information Storage 

Your email information (email address, name) is stored at the list server that delivers our newsletters. Your information is not shared with any 3rd party.  All of the newsletters that are sent to you are sent by Vivien Rountree, and always include an unsubscribe link in them. You can remove yourself at any time from our newsletters by simply clicking the unsubscribe button in the emails.

If you have purchased any of our online programs, you will continue to receive mailings related to that purchase. These emails also feature an unsubscribe link so that you can opt out at any time.

Your name and email address will be stored on the following Sites, depending on the type of interaction you have made:

All in-clinic client data is stored in locked cabinets during time of non-use.

Security

As with all web sites, please keep in mind that no Internet transmission is 100% secure. Please consider this when sending information to us by email. We take reasonable steps to protect personal information from loss and misuse.

We will facilitate you, our clients, rights in line with our data protection policy and the subject access request procedure. This is available on request.

• Right of rectification: you have a right to correct data that we hold about you that is inaccurate or incomplete.
• Right to be forgotten: in certain circumstances you can ask for the data we hold about you to be erased from our records.

• Right to judicial review: in the event that we refuse your request under rights of access, we will provide you with a reason as to why.

All of the above requests will be forwarded on should there be a third party involved as we have indicated in the processing of your personal data.

Data will not be held for longer than is necessary for the purpose(s) for which they were obtained. We will process personal data in accordance with our retention schedule. This retention schedule has been governed by our internal governance.
